  • Maintenance Co-ordinator

    The role:

    To maintain properties that meet regulatory requirements as well working relationships with landlords.  You consistently get works completed within our stated timescales, as well as ensuring all properties are compliant and meet Regulatory and Health Safety requirements.

    You source new contractors regularly and have a robust system for managing contractors and the quality of their work.

    You give exceptional customer service to landlords and tenants alike.

    You are a team player, working closely and cohesively with members of the property management team as well as the wider Preston Baker Community.


    1. Maintain a strong and reliable core list of contractors for each region (North/South/West Yorkshire) which consists of 1 Electrician, 1 Gas Safe registered Plumber, 1 Maintenance Technician and 1 Appliance Contractor. 
    2. You monitor each contractor using our contractor league table in which 8 of the core contractors are in the top 10.
    3. Ensure all Health and Safety and Regulatory Compliance on all properties is completed within 10 working days and filed accordingly.
    4. 80% of works raised are completed within our publicised timescales.
    5. Liaising with utility companies to ensure services are transferred and notified before move in and upon move out.
    6. You have completed quarterly inspections of contractors work.
    7. Ensure all invoices are passed to accounts team within 48 hours of the works being completed.

    The Role

    Preston Baker was awarded the Best Training and Development title as a company within our industry at the last Sunday Times Estate Agency of the Year Awards.  We are looking to give the opportunity of a structured career path into our varied industry that will result within 12 months in you taking on a full time role specialising in one of the following areas:

    • Residential Agency (sales and valuation)

    • Property investment (buy to let)

    Your Objective

    • You will be allocated one or two of the Preston Baker businesses to secure 80 new properties to sell and 50 new rental properties over your first year.   In addition you will be responsible to generate 160 financial services appointments for the PB mortgage team

    'A Day in the Life'

    • You will be trained in how to generate business, primarily using sales skills over the telephone to Preston Baker's existing clients.
    • You will be spending 4 hours of an 9 hour working with your clients to secure the business objectives stated above
    • You will help support branches with holiday cover

    The Training Program

    First 6 months

    • 8 week initial induction program (1 day per week). The final of which will include a written and oral assessment
    • Online training program to use the industry leading software REAPIT
    • Regulatory Training (classroom based)
    • 3 month performance and course feedback
    • 6 month probationary review, we will assess you performance against the objectives set above and against the company values

    Second 6 months - Specialising into your preferred route including

     Entry requirements

    • All applicants should be educated to Further Education level at either sixth form, college, university, or completed NVQ programs.
    • To have passed at least 7 GCSE’s at grade 5 (C) or above including Maths and English

    This will be an ideal position for someone who possesses a skill set combining; meticulous attention to detail, excellent organisational skills and the confidence to negotiate with both tenants and landlords with deposit disputes. Training and support will be given on an ongoing basis.

    Daily duties consist of:

    • Updating landlords on a daily basis the progress of maintenance works
    • Deposit negotiations with tenants and landlords
    • Communicating to landlord and tenants when dealing with maintenance and checkout conclusions
    • Supporting the Senior Property manager with admin and reactive maintenance

    Experience in the property sector is preferable but not essential.

    Driving licence and own car is essential.

    Daily duties

    Day to day, you will be responsible for the distribution of marketing material to homes on specific streets across the area. Working to a prescribed agenda and within strict time-scales, the successful candidate will be presentable, punctual and reliable.

    The role will involve working up to 20 hours per week, reporting directly to the branch manager.
